SAP-Human Resource INTERVIEW QUESTIONS 1. What is meant by payscale structure? How did you configure payscale structure? (I said I created various payroll areas and defaulted them using the feature ABKRS. Seemed he was expecting more than this from me.)  A: Pay Scale Structure means creation of Payroll area , Pay scale type, area, group and levels with EmpSub group grouping for PCR & CAP's.  2. How do you import payscale data from non SAP to SAP? (Somebody told me that there's a tool called LEGACY to transfer non SAP data to SAP. I said the same. Is it the same for payroll also? He wanted a clearer explanation of how I did it.  A: Yes you have to say from which transaction code you are transfeing data from Non SAP in to sap.  3. How to assign a person two different pers no.s and allocate him two different comp. codes and generate a single invoice? Suppose for a person I have to pers no.s A and B. I want to send him to one company in the morning and the other in the noon. How should I do this. (I only know one person can be given more than one position by giving percentage in OM. I said that this process is concurrent employment.)  A: No, even with Concurrent employment also it is not possible to assign two personnel numbers for one person. You can assign him to work wih two Personnel ID Numbers with the same number and make invoice.  4.What is meant by a schema? (I said I'm only aware that it is a set of rules which is copied and renamed, but never worked on that.)  A: No, you have to say him that schema is a set of instructions ( Programs ) madified as per requirements and its process is to collect the data as from all the defined instuctutions with sub schemas and PCR's. As I was not authorised to work on them I know just the process of schemas only, (you should have said like this.)  5. How do you restrict the data to be entered in payroll area?  A: No, data is entered in a payroll area , but the employees are defined depending on their payscale structure. If you are restricting any data to be entered for pay strcs this is for indirectly for payroll area.  6. What is meant by authorization? Did you ever work on it?  A: Authorisations are the transactions given to the end users or the developers for only some areas to work, infotyopes, transaction codes, org units and others depending on the requirement of the client or the develping enterprise. Check this at PFCG tcode.  7. What is the difference between Indian and US Payroll. (I said each of them have their own ITs and the taxation differs.)  A: Yes it correct and even you have to say about the Benefits which are more important in US. In US unemployment tax will come. Garnishments will come, Residence taxation, Work tax and others, you have to say it in broad way then only they can know that you are working, or confident enough.  8. Give me a brief description of the IT Tax.  A: No IDEA.  9. How do you differentiate Tax for different countries?  A: Taxation has so many use exits to be created which means it all happens only from the new versions which SAP Releases.  10.What is meant by slab? How is Indian slab and US slab? (He was talking about some %ages. I don't know what they are. )  A: Grouping of employees depending on their allowances and PERKS is nothing but Slab system and it also even comes for Professonal Tax.  What are Dynamic Actions? Give a few examples. What are the IT's you used in them. (I know only Birth of Child action, and the IT's used in it are Personal Data, Additional Payments) Dynamic actions which are triggered by the system. They are result of some personnel action. If you make a change (personnel action) to the personnel data of an info type that then has an effect on the data of a second info type, the system automatically displays the info type. One of the main purpose of the dynamic action (of the system) is to have a consistent and coherent data. These actions are started automatically by the system, unlike the Personnel actions which you start by yourself. The best example is when you carry out an action lets say hiring, you need to populate a set of info types. Your initial entry of details in infotype 0000 is personnel action. When you do this system automatically displays next infotpes- which is result of dynamic action  What is Recruitment Cycle?  Its is the complete process of recruitment right from identifying the vacancies displaying the same, notifying them, inviting the applicants, screening the applicants, interviewing them, selecting them, and recruiting them and appointing them(giving an organizational position in the organization--- all theses processes constitute the recruitment cycles  What is Qualification Deficiency? How will you come to know that a Person does not have certain skills/qualifications? (This was posed after I said that I worked on Training and Events also).  Generally the required qualifications are stored in Required Qualifications (Infotype 5129). So any deficient qualifications can be viewed in this infotype.  What is IT 41 used for? How do I default IT 41?  Date Specifications (Info type 0041). The following information is recorded in the Date Specifications info type (0041). The Date type specifies the type of information. A concrete Date type (specified by the user) is used in a series of reports, for example to evaluate an entry date that cannot be derived from the organizational assignment history but which is stored in the Date Specifications info type(0041). This info type can be used in payroll as well as for the leave program. The standard system contains twelve combinations of Date type and Date. If you require more than twelve date specifications for an employee at the same time, you can use time constraint 3.  Suppose the client wants me the vacancy to be displayed on a website as well as ESS. How should I do it? (I only know ESS means Employee Self Service, please explain about ESS also).  Employee Self-Serviceenables employees to create, display, and change their own HR-related data in the Enterprise Portal generally related to. Benefits and Payments,, Working Time, Career and Job, Employee Search, Personal Data, Travel Management, Corporate Information and Life and Work Events. So the kind of data the employees can edit, change or delete depending upon the authorizations the employees (users and roles) have. The authorization to have access to the vacancies by employees is given, generally the vacancies will be displayed for all the employees i.e all the employees will have authorizations. SAP – MM INTERVIEW QUESTIONS Problem is that after goods receipt and AFTER invoice verification, reversal of goods receipt is being done. Client wants this more controlled as the GRIR account is being affected. So no reversals to be done after Invoice verification. How to approach this?  Make this setting: SPRO > Materials Management > Inventory Management and Physical Inventory > Goods Receipt > For GR-Based IV, Reversal of GR Despite Invoice  Here remove the tick against Mvt 102 & 122.  Now the system will not allow to return the Good at any case. *-- B.Anand daivaraja  I have created a new vendor. Later I found that there were some mistakes and that I want that the system should not allow me to make any PO or post any entries to this vendor. How to deactivate this vendor?  You can block a vendor at the following levels:  All company code  Single company code  All Purchase org  Single Purchase org  Where to Get the Goods Movement Type List?  Step 1) Run spro command/TC  Step 2) Then move to "SAP Reference IMG" screen  Step 3) Then navigate following path:  IMG --> Materials Management --> Inventory Management and Physical Inventory --> Movement Types --> Copy, Change Movement types  Here with "Copy, Change Movement types" option a help tutorial is available (rectangular blue colour icon). In that go to "Further information" section where you can find a big list of movement types with some brief explanation.  Where the schedule margin key is customized?  You define the order float in the scheduling margin key, The scheduling margin key is copied from the material master. The float before production or float after production and the release period are defined in the scheduling margin key  For Customizing for Shop Floor Control, by choosing Operations --> Scheduling --> Define Scheduling Margin Key .  The scheduling margin key is assigned to the material ( MRP area in the material master) and is transferred when the production order is created. These values can be changed in the production order.  What is the function of OBYC?  Function of the OBYC stand for Configure Automatic Postings. In this step, you enter the system settings for Inventory Management and Invoice Verification transactions for automatic postings to G/L accounts.   Postings are made to G/L accounts automatically in the case of Invoice Verification and Inventory Management  transactions relevant to Financial and Cost Accounting.   For example, Posting lines are created in the Stock account and Consumption account.  Tell me what is *make to order*?  Make-to-order production is a process in which a product is individually manufactured for a particular customer. In contrast to mass production for an unspecified market where a material is manufactured many times, in make-to-order production a material is created only once though the same or a similar production process might be repeated at a later time. In global trade, you often need to process several different kinds of transactions at the same time. The Trading Execution Workbench (TEW) provides a central cockpit where traders can process trading contracts and their subcomponents, such as purchase orders and sales orders and follow-on documents. In addition, TEW automates a large part of the data entry, making processing quicker, easier, and more error-free.  How to delete a material completely?  Try MMDE transaction but be careful this will remove all material from Client.  What is the use of Tables in MM. i.e. How the tables get created?  Through SE11 you can create a new Table. In MM if you create a Material Master MARA, MARM, MARC,MARD, MBEW & MVKE will updated. In Vendor Master LFA1, LFB1 & LFM1 will be updated. The same applies to EKKO,EKPO for P.O, MSEG & MKPF for MIGO & RBKP for MIRO.  If in any error, only the message no. ! or the table no. is shown , then how to resolve the error using message no. or table no.?  Contact ABAP or BASIS person to resolve this.  How to create new transaction codes?  In transaction code SE93 you can create, Change & Display a Transaction Code. It is a graphical language for visualizing specifying constructing and documenting the artifacts of the system. It allows you to create a blue print of all the aspects of the system, before actually physically implementing the system.  2. What is modeling? What are the advantages of creating a model? Modeling is a proven and well-accepted engineering technique which helps build a model. Model is a simplification of reality; it is a blueprint of the actual system that needs to be built. Model helps to visualize the system. Model helps to specify the structural and behavior of the system. Model helps make templates for constructing the system. Model helps document the system.  3.What are the different views that are considered when building an object-oriented software system? Normally there are 5 views. Use Case view - This view exposes the requirements of a system. Design View - Capturing the vocabulary. Process View - modeling the distribution of the systems processes and threads. Implementation view - addressing the physical implementation of the system. Deployment view - focus on the modeling the components required for deploying the system.  4.What are diagrams? Diagrams are graphical representation of a set of elements most often shown made of things and associations.  5.What are the major three types of modeling used? Major three types of modeling are structural, behavioral, and architectural.  6.Mention the different kinds of modeling diagrams used? Modeling diagrams that are commonly used are, there are 9 of them. Use case diagram, Class Diagram, Object Diagram, Sequence Diagram, statechart Diagram, Collaboration Diagram, Activity Diagram, Component diagram, Deployment Diagram.  7.What is Architecture? Architecture is not only taking care of the structural and behavioral aspect of a software system but also taking into account the software usage, functionality, performance, reuse, economic and technology constraints.  8.What is SDLC? SDLC is Software Development Life Cycle. SDLC of a system included processes that are Use case driven, Architecture centric and Iterative and Incremental. This Life cycle is divided into phases. Phase is a time span between two milestones. The milestones are Inception, Elaboration, Construction, and Transition. Process Workflows that evolve through these phase are Business Modeling, Requirement gathering, Analysis and Design, Implementation, Testing, Deployment. Supporting Workflows are Configuration and change management, Project management.  9.What are Relationships? There are different kinds of relationships: Dependencies, Generalization, and Association. Dependencies are relations ships between two entities that that a change in specification of one thing may affect another thing. Most commonly it is used to show that one class uses another class as an argument in the signature of the operation. Generalization is relationships specified in the class subclass scenario, it is shown when one entity inherits from other. Associations are structural relationships that are: a room has walls, Person works for a company. Aggregation is a type of association where there is a has a relation ship, That is a room has walls, o if there are two classes room and walls then the relation ship is called a association and further defined as an aggregation.  10.How are the diagrams divided? The nine diagrams are divided into static diagrams and dynamic diagrams.  11.Static Diagrams (Also called Structural Diagram): Class diagram, Object diagram, Component Diagram, Deployment diagram.  12.Dynamic Diagrams (Also called Behavioral Diagrams): Use Case Diagram, Sequence Diagram, Collaboration Diagram, Activity diagram, Statechart diagram.  13.What are Messages? A message is the specification of a communication, when a message is passed that results in action that is in turn an executable statement.  14. What is an Use Case? A use case specifies the behavior of a system or a part of a system, se cases are used to capture the behavior that need to be developed. It involves the interaction of actors and the system. SAP – ADVANCED PLANNER AND OPTIMIZER (APO) INTERVIEW QUESTIONS How can a planning version be frozen and unfrozen?  A Planning Version can be frozen and unfrozen using Function Module /SAPAPO/TS_PAREA_VERSIO_FREEZE so that no further changes to the planning version can be done.  What is Release Profile?  Release Profile is used to release timeseries data from DP to SNP/PPDS. You need to define the DP Planning Area and timeseries keyfigure the data in which is released and the SNP Category Type (typically FA) to which data is released. You may maintain a Daily Buckets Profile it will define the number of working days (working days determined based on Shipping Calendar maintained for the location master) starting on and from the From Date if released online/ interactively or that many workdays of the planning horizon when release is carried out in background. The Period Split (blank, 1 and 2) field in the SNP2 tab of location-product master determines how demand plan is released to SNP from DP (how bucketed data is disaggregated to the workdays).  What is the usage of Period Factor?  Period Factor maintained in the SNP PPM or Transportation Lane determines the Availability Date of a Receipt element within a time bucket (period). The system determines the exact availability date/time of the receipt elements within a period, by adding a time interval (that it gets by multiplying the period factor with the period length) to the start time of the period. You can enter a factor between 0 and 1, where 0 is the start of the period, 0.5 the middle, and 1 the end of the period. When calculating the availability date/time, the system takes into consideration all weekdays, meaning that it does not take into consideration any days that have been defined as non-workdays in the calendars.  Period Factor used is .71 = 7x0.71 = 4.97 or 5 days from ptimizer of weekly bucket resulting in a Friday.  If Period Factor is not maintained in PPM or Transportation Lane then the User Period Factor indicator and the Period Factor value maintained in the Lot Size tab of the location-product combination is used. If this is not maintained a default value of 0.5 is used.  What determines stock categories displayed in Stock on Hand keyfigure?  The categories defined in Category Group ST1 (can be maintained in table /SAPAPO/APOCGC) determine the stock categories that are displayed in the Initial bucket in the Stock on Hand keyfigure. Subsequent buckets are dynamically computed.  Does dynamic alerts show up in Alert Monitor?  Dynamic Alerts do not show up in the stand-alone alert monitor. Network alerts are to show pegging relationships.  What is the report to execute MASSD?  The report for executing MassD in background job is MASSBACK.  What is the shortcut to change location type in APO?  Report /SAPAPO/CHECK_LOCATION_TYPE can be used to change location type (say from 1001 to 1002 or vice-versa) of existing locations in APO. The table to refer is /SAPAPO/LOCMAP. SAP does not recommend this process.  How can a transaction be executed even when no authorization?  SE93 - Transaction code for Transaction Code E.g. CRC1 Create Resource has txn code CRAH. So if you do not have authorization to create resource you can use SE93 and enter txn CRAH and then Test F8 button to go to the txn.  How to copy a Process Chain?  To copy a process chain to another process chain, goto the Process Chain you want to copy and then type copy in the tool tar and hit enter. It will allow you to copy the Process Chain to another Process Chain that can be modified as per user's requirement, saved, activated and used.  What is the process to copy planning versions in R/3?  Use OLIX to first delete previous MRP planning versions. Then use MCB& to create the new MRP planning versions by choosing the appropriate version you want to create as ICO Version. The info structure in this case is S094.  How to use create planning book with two tables?  To use two tables on one screen of Planning Book/Data View - select indicator next to second page title and give name. Additional tab page is displayed in Planning Book Maintenance wizard to define the keyfigures for the second table.  What is Master Data in DP?  Master Data in Demand Planning primarily is Charcateristic Value Combinations commonly termed CVCs. CVCs are the planning combinations against which data is stored in keyfigures.  What is the behaviour of Procurement Type X?  Procurement Type X - source selection is based on matching due date then priority then cost. If both In-house Production and External Procuremnet is possible then In-house Production (PPM) is chosen as source of supply.  What is PPDS Fixing Horizon?  PP/DS fixing Horizon defines the PP/DS time Fence - within that period if heuristic is run no orders get changed.  What is the reuse mode in Product Heuristic?  Reuse mode in Product Heuristic - makes the system to reuse orders already present in the heuristic run i.e. orders are not deleted and recreated.  What is Planning Procedure?  Planning Procedure in Product Master (PP/DS) defines that when you convert a planned order to process order it is in Deallocated state and not Scheduled state and more.  Which are the components of the new mySAP SCM Solution?  SAP SCM 4.1 is the new available Supply Chain Management Solution offered by SAP. The SAP SCM 4.1 System includes SAP APO 4.1 (Advanced Planning and Optimization), SAP ICH 4.1 (Inventory Collaboration Hub) and SAP EM 4.1 (Event Management).  How about the architecture of SAP SCM 4.1?  SAP SCM 4.1 is based on the SAP Web Application Server 6.40. All SAP SCM 4.1 Architecture Components can be installed on one hardware server, as long as this server is sized for all used application components.  What does APO mean?  SAP APO stands for SAP Advanced Planning and Optimization and is the planning component within the mySAP SCM solution.  Can SAP APO be used as a stand-alone solution?  No, SAP APO always requires a backend ERP system for execution functions. In most cases, the backend system is an SAP R/3 system.  Can SAP APO and SAP R/3 be installed on the same server and use the same database?  No, SAP APO requires a separate server. The actual size of the SAP APO system may vary and depends on the data volume to be processed. You can find more details on this subject under the alias /sizing on the SAP Service Marketplace (//http:/service.sap.com).  How does SAP R/3 communicate with SAP APO?  Through the APO Core Interface (CIF) which supplies SAP APO with master and transaction data in real time. CIF is delivered through the R/3 Plug-In, which is something you have to install in your SAP R/3 system. This is the same Plug-In that you need for connecting a BW or a CRM system.  What about the exchange of data between the two systems?  With SAP APO you have a real-time integration to SAP R/3. The minute you change something in one system, it is immediately being transferred to the other and vice versa. And that goes for all data, be it a sales order, a production order or a purchase order. You do not have to perform any batch jobs for transferring data between the systems.  OK, SAP APO is a separate system. Do I have to maintain the master data twice?  No. You create and change master data exclusively in SAP R/3. If you want to work with SAP APO, you need to transfer the master data from the SAP R/3 system.  Depending on the scenario you want to use in SAP APO, you may have to enhance the transferred data with SAP APO specific settings, which are not relevant to SAP R/3.  What is an easy, cost efficient way of installing some standard SAP APO scenarios?  The answer is: SAP Best Practices for Supply Chain Management. Choose one or more of the mySAP SCM business scenarios that SAP Best Practices for SCM provide.
