DRAFTING : DRAFTING Drafting is often a part of planning. It means to draw
the preliminary sketch or plan. As you write you
discover more about the topic. New ideas may come
to your mind. In the finishing stage you produce a
consistent, accurate document.
STRATEGIES : STRATEGIES Choose a structuring method
Use Structural Parallelism
Editing
STRUCTURING METHOD : STRUCTURING METHOD Choose a structuring method that achieves your
goal. Two ways which are usually used to
structure the text are:
List format
Hierarchy
LIST FORMAT : LIST FORMAT Lists are useful because they emphasize certain
information in regular text. They help readers to
understand and remember the details.
The basic list has three components:
Introductory sentence that ends in a control word.
A colon.
A series of items.
EXAMPLE : EXAMPLE A test package includes three parts :
Test plans
Test specifications
Tests
Lists can appear either horizontally or vertically.
A test package includes three parts: test plans, test
specifications and tests.
HIERARCHY : HIERARCHY Hierarchy is a graded or ranked series. It emphasizes
important elements. If you want the reader to
remember main ideas then structure your document
hierarchically.
Slide 8 : HIERARCHY Site A has two basic problems:
Terrain
Water in the basement.
Hills block solar heating.
2. Disrepair
Roof leaks
Windows are broken.
Air conditioning system is
broken. LIST Site A has these problems:
Water drains into the basement.
Hills block solar heating.
Roof leaks
Windows are broken.
Air conditioning system is
broken.
STRUCTURAL PARALLELISM : STRUCTURAL PARALLELISM What is it?
Structural parallelism means that each section of a document follows the same organizational pattern. It means establishing a ‘consistent visual logic’. Each element is presented the same as other similar elements. Why is it important?
Parallel structure helps to organize ideas, making a text or speech easier to understand. Parallel structure can also create a satisfying rhythm in the language an author uses.

EDITING : EDITING Editing means developing a consistent, accurate text.
It involves a number of small changes in a draft
that can make a big difference in the draft's readability
and coherence. Editing for structure ensures that your
ideas are presented in a logical order.
GENERAL TIPS : GENERAL TIPS Go through the overall structure and logic of your
essay or report.
Visually check the draft yourself. Don’t just rely on
‘Spelling and Grammar’ function of computer.
Create a checklist.
Work on only one type of problem at a time.
CHECKLIST FOR EDITING : CHECKLIST FOR EDITING The content is reviewed & edited for:
Accuracy
Clarity
Consistency
Conciseness
Usefulness
Organizational format
